The role of the organizer

You have the privilege of being the organizer of the virtual event: congratulations!

This role is important and complex at the same time: you will organize the event, coordinate all the sponsors, exhibitors, and speakers, communicate with participants, prepare and publish content, analyze statistics, etc. Even if the event is 100% in the digital world, you should not neglect your role, which will be capital for the success of your event!

Configuring your platform

First, you will need to go through the configuration steps of your platform via the back office. Of course, our project manager will help you throughout the process. Among other things, you will define the URL redirection rules or the custom fields that users will be able to fill in when they register.

Prepare the registrations and the communication

You will be able to prepare the publication of the event’s landing page, which will be very helpful for your communication, but also to collect sign-ups once it’s online. If you wish, you can also choose to go for a massive import of users, if you have the necessary files or if you wish to manage the registrations yourself.

Create spaces and content

You will then be able to create the various spaces and content on the fair.

Distribute roles

Once you have created the main spaces (chat rooms, conference rooms, booths), you can assign the roles of moderators, speakers, or exhibitors to the subscribed users.

Once these roles have been assigned, each user will have privileges that will also allow them to prepare their booth. Exhibitors will then also be able to enter their available agendas on their booth, which will allow visitors to schedule appointments with them from the event’s website.

Prepare the highlights of the day

You can then finalize your conference schedule, or prepare to send notifications to your users while the event is open.

The day of the fair

On the day of the fair, you’ll be the nucleus of the event, and will be able to monitor all the activity and make sure everything is running smoothly. No need to stress, you’ll quickly see that everything is going as smoothly as possible!

After the event

Once the fair is over, you can create your statists reports, analyze user feedback, and prepare for future events!
